The date and who
The date of the working day, the worker's name and their job grade (skilled tradesperson, semi-skilled, labourer…), which is what their hour is worth.
A good daily job sheet records who worked, on which job, for how many hours and with what expenses. Here are the details your job sheet template should include, whether you fill it in by hand or print it, and what changes when the job sheet is filled in on the phone.
What it is
A job sheet is the document on which each worker, or a team's supervisor, records what was done in a working day: which job they were on, for how many hours and what expenses they had.
It does two things at once: it records each person's hours, which end up in payroll, and it gives the cost of each job, which tells you whether a job made money. That is why a job sheet template cannot be a blank page: if the job is missing, the hours have nothing to be charged to; if breaks or overtime are missing, payroll won't add up.
Job sheet template
It works the same for an Excel or PDF job card template or a paper one to print: these are the fields of a daily job sheet.
The date of the working day, the worker's name and their job grade (skilled tradesperson, semi-skilled, labourer…), which is what their hour is worth.
The code or name of the job and the activity carried out. Without it, the hour has nothing to be charged to.
The start and finish time of the working day and the breaks taken.
Normal, overtime and holiday hours, kept separate: they don't cost the same.
The costs of the job and of the worker when working away.
The worker's signature and, when working for a customer, that of the customer's person in charge.
To fill in or print
A job sheet template in Excel or on paper works while you have few workers and few jobs. As you grow, the usual problems appear:
From paper to GControl
In GControl the job sheet holds the same details as your template, but it is filled in from the Android app or from the Windows program, and reaches the office in real time.
The start and end of each working day, with breaks, at your premises or at the customer's site.
Normal, overtime and holiday hours charged to each job and activity.
Each hour is valued at the worker's job grade.
The signed timesheet for the day comes from the same job sheets.
And also
Job sheets are charged to jobs that are opened with their code, have a supervisor and a person in charge, and are closed with their completion date.
For each job the service request is printed: the work order, signed at the start and at the end. That is the paper worth printing. With the hours on the job sheets and the material deliveries, GControl gives you the cost of every job. If all you need is to record your staff's working hours, without jobs or costs, Infonet has Gesthoras.
Yes. What you write on the template today (the worker, the job, the hours, breaks, travel, allowances and mileage) is entered from the Android app or from Windows, and nobody has to copy it by hand into payroll or job costs any more.
Yes. They record each worker's hours, to automate payroll, and break those hours down by job and activity, for job costing.
Yes. With the Android app they record the start, end and breaks of the working day, at your premises or at the customer's site, and fill in their job sheets with normal, overtime and holiday hours. The office sees it in real time and prints the signed timesheet.
Yes. For each job the service request is printed: the work order, signed at the start and at the end. The job is opened with its code, has a supervisor and a person in charge, receives the operatives' job sheets and is closed with its completion date.
