Quotes

Quotes by line item with quote tracking

Quotes carry labour and materials broken down by line item, and are coded in a standard way by year, customer and type of activity.

  • Labour and materials by line item: what you will put into each part of the job.
  • Accepted and rejected: quote tracking, so you know which ones you win and which you lose.
  • The quote document you send to the customer is linked to the quote as a file.

With the Excel pivot-table reports you see what was quoted and accepted by customer, and then what each job cost.

Jobs

Every job with its own code

When the quote is accepted, the job is opened and starts collecting what it costs.

Opened with its code

Year, customer, type of activity and number: that is how each job is classified and found.

Supervisor and person in charge

Each job has its supervisor and its person in charge.

Operatives' job sheets

It receives job sheets from the Android app or from Windows.

Materials

Material deliveries are charged to the job at their cost.

Completion date

The job is closed with its completion date.

What was invoiced

The job's invoices are imported from Sage, to compare the cost with the revenue.

Work orders

Work orders signed at the start and at the end

For each job the service request is printed: the work order, signed at the start and at the end.

That leaves a record of when each job started and when it finished, and the job is no longer agreed by word of mouth: it has its code, its person in charge and its dates. Meanwhile the job sheets and material deliveries keep adding up, and when you close it you know what it cost and what it made: that is job costing.

Yes. For each job the service request is printed: the work order, signed at the start and at the end. The job is opened with its code, has a supervisor and a person in charge, receives the operatives' job sheets and is closed with its completion date.

How is the cost of each job calculated?

With the hours on the job sheets valued at the rate card of each job grade, plus the material delivered to each job.

Does it connect with Sage?

Yes. GControl imports delivery notes and invoices from Sage, so you can compare the cost of each job with what was invoiced, and exports payroll data to Sage.

Which companies is GControl for?

For companies that work job by job and need to know what each job costs them: mechanical installation, industrial maintenance, installations, structures, technical services…, with their own staff, job sheets and materials.
